True cost per item, with your time counted
You enter each supply once on the Materials tab, with its pack price and pack size, and the sheet works out the cost per ounce, inch, yard or piece. On the Recipes tab you list what goes into one item. The Products tab adds your making time at your hourly rate, packaging, other costs and a share of your monthly overhead (rent, software, tools, marketing) spread across the items you expect to sell.
In the sample shop, an 8 oz lavender soy candle costs $10.83 before shipping and fees:
| Cost per candle | Amount |
|---|---|
| Materials7 oz soy wax, 0.6 oz fragrance oil, wick, jar and two labels | $4.90 |
| Your time12 minutes at $18 an hour | $3.60 |
| Packaging | $1.20 |
| Other costs | $0.30 |
| Overhead share$209 a month spread over 250 items | $0.84 |
| Total cost per unit | $10.83 |
Price Check then shows where the buyer’s money goes. At the current $22.00 price plus $6.50 shipping, the buyer pays $28.50. Shipping the order costs you $7.20 and Etsy’s fees take $3.16, which leaves $7.31 of profit after you’ve paid yourself for your time.
The price for the margin you want
You set a target margin in Settings (the sample uses 35%) and can give any product its own. The suggested price covers every cost, pays you for your time and the platform for its fees, and leaves that margin as profit. Prices round up to a .99 ending or to whole dollars, whichever you choose.
Margin here means profit as a share of what the buyer pays, shipping included, after your own wage. The candle at $22.00 makes a 26% margin, so the sheet marks it underpriced and suggests raising it by $4.99 to $26.99.
Test a price before you change your listing
The price-change simulator on the Price Check tab takes a test price and a monthly profit goal. At $28.00 the candle would make $12.74 a sale, a 37% margin. Reaching a $500 monthly profit goal from this candle alone would take 40 sales a month, about 8 hours of making.

Etsy vs Shopify vs craft fair vs wholesale, on the same product
Price Check runs one product through every channel you sell on, each with its own fees, so you can see what to charge in each place and where the product earns the most. Here is the sample candle:
| Channel and fees | Price for a 35% margin | Profit at $22.00 |
|---|---|---|
| Etsy9.5% + $0.45 | $26.99 | $7.31 |
| Etsy + Offsite Ads24.5% + $0.45 | $39.99 | $3.03 |
| Shopify (Basic plan)2.9% + $0.30 | $23.99 | $9.34 |
| Amazon Handmade15% | $29.99 | $6.19 |
| Craft fair (card reader)2.6% + $0.15 | $17.99 | $10.44 |
| Wholesaleno fees; your price is $11.00, half of retail | $16.99 | $0.17 |
Etsy’s 9.5% is the 6.5% transaction fee plus 3% payment processing, and the $0.45 is the $0.25 processing fee plus the $0.20 listing fee. Orders that come through Etsy’s Offsite Ads add a 15% ad fee (12% if you sold over $10,000 in the past 12 months), so at $22.00 those sales leave $3.03. The online rows include the $6.50 shipping the buyer pays and the $7.20 it costs you; the craft fair and wholesale rows have no shipping. Put the Shopify plan fee and booth fees in your monthly overhead.
The fees are US defaults as of October 2026, and each one is a cell you can change. Two more rows can be renamed for your own site, Faire, eBay or a consignment shop.
Underpriced products, flagged
Each row on the Products tab is marked Underpriced, On target or No current price. The Shop Summary tab lists every product with its current and suggested price, puts the biggest gaps at the top, and adds up what they cost you each month at the sales you expect.
In the sample shop, 3 of the 7 products are below the 35% target:
| Product | Now → suggested | Gap a month |
|---|---|---|
| Lavender soy candle (8 oz)26% margin, 60 sold a month | $22.00 → $26.99 | $299 |
| Chunky crochet beanie11% margin, 12 sold a month | $38.00 → $56.99 | $228 |
| Holographic sticker (3 in)31% margin, 80 sold a month | $4.50 → $4.99 | $39 |
| Total | $566 |
The gap is the difference between the suggested and current price times the units you expect to sell, before fees: $566 a month, or $6,798 a year, for the sample shop. It works the other way too. The gold hoop earrings sell for $34.00, above the suggested $30.99, so they stay On target. The Products tab also shows a wholesale price for each product and the profit you’d make at it.
What you download
One ZIP file with two workbooks and a short guide. They open in Microsoft Excel 2016 or newer (desktop or web) and in Google Sheets.
Filled with an example shop (a candle, earrings, a crochet beanie, a sticker, an art print, a soap bar and wax melts), so you can see how each tab works before you add your own numbers.
The same seven tabs, empty and ready for your products: up to 200 materials, 600 recipe lines and 100 products.
The five layers of a handmade price, the pricing formula in plain words, a worked example, five common pricing mistakes, and wholesale vs retail.
Set it up in about 20 minutes
Yellow cells are where you type, and green cells calculate. The Start Here tab walks you through these four steps:
- Settings: your hourly rate, monthly overhead, how many items you sell a month, your target margin and how prices round. Check that the channel fees match your platforms.
- Materials: each supply you buy, with the pack price and how much is in the pack.
- Recipes: for each product, pick each material and type how much one item uses.
- Products: one row per product with its main channel, minutes to make, packaging, shipping and current price.
After that, Price Check and Shop Summary fill in for every product. To use Google Sheets, choose File > Import > Upload. In Excel, click Enable Editing if a Protected View bar appears so the formulas calculate.

Questions
Does it work in Google Sheets, or do I need Excel?
Either. It opens in Google Sheets, which is free (File > Import > Upload), and in Microsoft Excel 2016 or newer on desktop or the web. Apple Numbers isn’t supported.
Does it use macros?
No. It only uses formulas that work the same in Excel and Google Sheets, with no macros, scripts or add-ons to enable.
What do I download?
A ZIP file with Pricing-Profit-Calculator-SAMPLE.xlsx, Pricing-Profit-Calculator-BLANK.xlsx and Pricing-Profit-Quick-Start-Guide.pdf. Right after you pay, you land on a download page with the link. Bookmark it to download again later.
Does it connect to my Etsy or Shopify shop?
No. You type in your own costs and prices, so it never needs a login, and your numbers stay in your own copy of the file.
What if Etsy changes its fees?
Every fee is a cell on the Settings tab. The defaults are for US sellers as of October 2026. Change one and every price that depends on it updates.
I’m not in the US. Will it work?
Yes. The math is the same in any currency: change the number format and type your local platform and card-reader fees into Settings. Sales tax and VAT aren’t included.
Can I get a refund?
Yes. If a file won’t open or doesn’t do what this page says, reply to your receipt email and we’ll fix it or refund you.
How is this different from the craft editions?
The tabs and formulas are the same. Each craft edition comes with a sample shop and a starter materials list for that craft. The sample on this page mixes several crafts, and the blank workbook works for any of them.
Is this made by Etsy?
No. Oscar Kiki isn’t affiliated with Etsy. We name Etsy, Shopify and Amazon Handmade only to describe the fees the calculator includes.
